What we collect and why

We collect your name, phone number or email, delivery address and postcode, bottle selection, empty-bottle details and practical delivery instructions. Please include only information needed to discuss your request. Security checks also process connection information, such as your IP address, to help prevent abuse.

We use these details to prepare and discuss your quote. For personal enquiries, we do this to take steps at your request before a possible contract. For business contacts, our legitimate interest is responding to your business and arranging supplies. A quote request is not an order confirmation.

Protecting the service, preventing abuse and dealing with queries or disputes are legitimate interests. If a quote becomes an order, we also keep records needed to meet our accounting and tax obligations.

Who can see your request

Authorised business staff can see your request and record notes about the quote. Cloudflare provides website hosting, security checks and secure enquiry storage. Hostinger provides our business email. We do not send automatic customer emails from the quote form.

These providers’ processing may involve locations outside the UK. Their published data-processing terms provide transfer safeguards, including standard contractual clauses and the UK transfer addendum where applicable. Orders and card payments

We use your contact, delivery and cylinder details to fulfil your order, arrange delivery and handle returns. This is necessary for our contract with you. We keep order, payment and refund records for accounting, legal obligations and resolving disputes.

Stripe provides secure hosted card checkout. We send Stripe your order references, product descriptions and amounts. You enter payment details directly with Stripe; we do not receive or store your full card number or security code. Stripe processes payment and device information, including for fraud prevention, and returns payment and refund status to us. Its privacy policy explains its own processing and international transfer safeguards.

A necessary secure cookie protects access to your guest order for up to seven days. Your browser tab keeps an order reference for safe retries, but does not store your contact or delivery details. We send those details to our server when checking delivery and placing your order. No public customer account is created.

How long we keep information

Our normal retention period for unsuccessful quote enquiries is 12 months after the last relevant contact. We review records before removing personal details. We keep necessary customer details while the business relationship continues and there is a legitimate operational need. Orders, invoices and tax records are kept for the applicable statutory period. Trade and cylinder records are kept while arrangements remain active, then for the appropriate contractual, accounting or legal period. Our normal review period for security records is 90 days. We keep records for longer where needed for outstanding balances, disputes, investigations or legal obligations.

Your choices and rights

You can ask us for a copy of your information, to correct it, or to consider a request to delete it, restrict its use or object to processing. We may need to confirm who you are before sharing or changing a record. Some information may need to be kept to meet legal obligations or resolve a dispute.

The basket and security check

The basket keeps bottle choices, quantities and retry references in this browser tab. Your contact and delivery details are not saved in browser storage. They are sent to us when you check delivery, place an order or submit an enquiry. Cloudflare Turnstile checks for automated abuse before we accept a new request.

If you choose the email alternative, your email app holds the draft and sends it when you press Send.
